A guide for managing your timesheets (new timesheets app)

This guide will tell you everything you need to know to get your timesheets completed and signed.

 

Creating an account

  • When your agency creates your first assignment on their portal, you will receive an email inviting you to sign up and create an account for the worker portal (for all subsequent assignments, you will get an email asking you to log in)
  • Click on the link in the email, create a password and sign up
  • Once you are in, you will be prompted to accept our terms and conditions. If you do not accept these, you will not be able to proceed
  • The url for the worker portal is work.sonovate.com - it's worth saving this in your bookmarks

Finding your timesheet

  • On the Timesheets tab, you will find a list of all your timesheets, past and present. A new timesheet will appear each week

  • If you need to, you can search, sort and filter this list at the top, to find the timesheet you're looking for
  • You can also perform several actions from the list (which can also be performed from within the timesheet itself)

    • Copy last timesheet - this will copy the entries of the previous timesheet into your current one. Very handy if you work the same pattern every week (you can edit the entries after copying)
    • Submit - submit your timesheet for approval
    • Dismiss  - use this when you didn't work that week and want to put it to the bottom of your list. You can only do this with open, empty timesheets
    • Download - if you need a pdf copy of your timesheet for any reason

Adding time and expenses

  • Navigate into the timesheet that you want to add time or expenses to
  • There are two ways to add entries
    • Copy the last timesheet
    • Manually add

Copy last timesheet

  • From the dropdown on the main button, select 'Copy previous timesheet'. This will copy over any entries that are on your previous timesheet, and save them to this one (this is particularly helpful if you work the same pattern each week). You will be able to edit the entries before submitting.

  • If you don't want to copy a previous timesheet, then click 'Add time' on any day

  • If you want to add time to multiple days in one go, select 'Multiple days' and select the days worked in the calendar

  • Select the rate that you worked, along with how much of it
  • Add an optional description and optional start, end and break times
  • Once you've saved it, you can edit or delete, up to the point of submitting

Manually add expenses

  • If you're allowed to claim expenses, you will see an expenses tab. Click on this to add expenses to the timesheet

  • Click 'Add expense'
  • Select the type of expense, add the net and tax as shown on the receipt/invoice
  • Add an optional description
  • Attach some evidence (an image or a pdf) for the receipt. This will be visible to your authoriser
  • Add your expense
  • You can add as many expenses as you need. As with your time, once you've saved your expense, you will be able to edit and delete it up to the point of submitting

Submitting your timesheet

  • When you have filled in your timesheet, you can submit it
  • Click the main 'Submit' button to get started
  • If you need to get the timesheet signed online, then select the first option and click 'Next'

    • If you have more than one authoriser, you can select them here. If you only have one, it will submit to them by default
    • Once submitted, your authoriser will receive an email asking them to sign your timesheet online
  • If you already have a signed timesheet (e.g. a manual timesheet, or from a third party system), then select the second option and click 'Next'

    • Attach the signed timesheet evidence that you have
    • Once submitted, your authoriser will not be notified, and will not be asked to sign your online timesheet

Editing your timesheet

  • If you spot an error after your timesheet has been submitted (but before it has been paid) you can click 'Reopen' to make a change
  • Please note, you will need to re-submit it, and get it re-approved before it can be paid
  • If your timesheet has been rejected by your authoriser for any reason, you will be notified by email, and will be able to make changes to the timesheet, before re-submitting
  • For any changes required after your timesheet has been paid, you will need to contact your agency

Downloading your timesheet

  • If at any point you need to download a pdf of your timesheet, you can do so from the menu on the main button
