Client invoicing grouping rules

This article will show you how to set up your client properly so that their invoices will be generated correctly

Every client has rules around how they want their invoices to be generated. Some want one invoice for all workers and timesheets; others want different workers on separate invoices; others want invoices split by PO number. Our client grouping rules give you full control over how these invoices appear.

 

  • Navigate to a client record

  • Within the client record, scroll down to the 'Invoicing' section and open it to edit it

  • You will be presented with a list of options

  • Select the option that meets your client's invoicing requirements:
Client This is the default setting. Selecting this will group all timesheets onto one single consolidated sales invoice. For example, two workers at the same client will be grouped onto the same invoice. (Although please note, adding a different invoice address to one assignment will cause a separate invoice to be generated for those timesheets)
Timesheet This setting will create a separate invoice for each timesheet. For example, one worker with two timesheets would result in two separate sales invoices.
Worker This setting will create a separate invoice for each worker. For example, two workers with a timesheet each would result in two separate sales invoices.
Purchase order number This setting will group PO numbers together. For example, two workers who share the same PO number on their assignments will be grouped onto a single consolidated sales invoice.

  • NB - there are also advanced settings if you would like finer grained control over how invoices are generated. These work in conjunction with the primary rules above. For example:
    • If you have 'Client' and 'Split time and expenses' selected, you will get two invoices: one with all time on it; and another with all expenses on it
    • If you have 'Worker' and 'Split purchase order numbers' selected, and you have one worker with two timesheets, each with a different PO number on them, you will get two invoices: one with the first PO on it; and another with the second PO on it

Advanced grouping


  • Click 'Confirm' to save your settings. The next time you invoice that client, the invoice generation will respect these settings.
